Before founding Local Property Partners, I was looking after a portfolio of roughly 250 properties. Here's the uncomfortable part. The vast majority of them, I had never physically walked through. Inspections were rushed. Maintenance decisions were made from photos. Landlords were left trusting a process they couldn't actually see.

I didn't want to keep working that way, so I built something smaller on purpose. I cap my portfolio so every property still gets a real walk-through, a real conversation with the tenant, and a manager who can answer any question about it without opening a file.

What follows on this page is what I learned in those years, written for landlords who already suspect their current manager isn't watching closely enough. Four scenarios I see often. Then exactly what we built to make sure they don't happen here.

In practice

What it costs you when your property manager doesn't actually know your property.

Four scenarios I hear about regularly from landlords who switch to us. None of them are dramatic. All of them are expensive. And every one is the quiet result of a portfolio too large for any one person to manage properly. After each, what we've built so it doesn't happen here.

Scenario 01

The $300 callout that should have been a $150 fix.

An electrician is on site to install a smoke alarm. It's a $150 job. He needs a quick approval before he goes ahead. He calls the property manager, gets a virtual assistant, leaves a message. The PM is in another inspection and doesn't see it for three hours. By then the electrician has left for his next job. He charges another callout fee to come back. The $150 job is now $300, and you're paying it. Not because anything went wrong, but because nobody was reachable when it mattered.

How we solve it

Scenario 02

Except it wasn't her, it was the BDM (business development manager), who handed your file off to her on day two and hasn't been heard from since. Nobody owns the file. Nobody remembers the policy. You're left educating your own agent about your own coverage.

How we solve it

One file owner, from appraisal to bond return. The person who appraises your property, signs you up, configures your insurance, meets your tenant and approves your maintenance is the same person. There is no BDM. There is no handover on day two. There is one file, owned by Daria, and it stays that way for the life of the management.

Scenario 03

The fence that's been falling down for six months.

A tenant emails to say the side fence is leaning. Your property manager doesn't know which fence. She's never been to the property. She doesn't know which neighbour to contact. She doesn't know if it was already leaning at the start of the tenancy because she didn't do the PCR, the leasing agent did. She's never met your tenants because they were signed up by someone else too. She is, in every meaningful sense, managing a file she has never seen, on behalf of people she has never met.

How we solve it

Every property walked. Every tenant met. Daria personally walks every property she takes on and meets the tenants on every lease. When a fence falls down, she knows which fence. She knows the neighbour. She knows what condition it was in when the tenant moved in. The portfolio is structured so this stays true as we grow, with each senior property manager capped at around 80 properties.

Scenario 04

The inspection report nobody actually reviewed.

Your routine inspection report arrives. It flags a leaking tap. You ask your property manager which one. She stutters. Goes quiet. Opens her laptop. The photo shows a tap. Could be the kitchen. Could be the ensuite. You both sit in silence trying to work it out. She says she'll need to ask the inspections agent who did the report, an outsourced company her agency uses. They have to track down which inspector attended. The inspector did twenty inspections that day and can't remember. Meanwhile your tenant is getting tired of explaining, again, that the tap is leaking and just wants someone to fix it. Three people are now involved in identifying a single tap.
