What it costs you when your property manager doesn't actually know your property.
Four scenarios I hear about regularly from landlords who switch to us. None of them are dramatic. All of them are expensive. And every one is the quiet result of a portfolio too large for any one person to manage properly. After each, what we've built so it doesn't happen here.
The $300 callout that should have been a $150 fix.
An electrician is on site to install a smoke alarm. It's a $150 job. He needs a quick approval before he goes ahead. He calls the property manager, gets a virtual assistant, leaves a message. The PM is in another inspection and doesn't see it for three hours. By then the electrician has left for his next job. He charges another callout fee to come back. The $150 job is now $300, and you're paying it. Not because anything went wrong, but because nobody was reachable when it mattered.

The fence that's been falling down for six months.
A tenant emails to say the side fence is leaning. Your property manager doesn't know which fence. She's never been to the property. She doesn't know which neighbour to contact. She doesn't know if it was already leaning at the start of the tenancy because she didn't do the PCR, the leasing agent did. She's never met your tenants because they were signed up by someone else too. She is, in every meaningful sense, managing a file she has never seen, on behalf of people she has never met.

Is it the principal or a junior staff member? How many properties are they responsible for? If you can't get a clear answer, that's the answer.
What is the full fee schedule, including all extras?
Ask specifically about PCR, Final Bond Inspection, EOFY statements, admin fees, invoice processing, and arrears charges. Get it in writing.
What does your reachability actually look like?
If I call on a Wednesday at 4pm, do I speak to my property manager, or to reception? If something goes wrong outside hours, who responds, and with what authority?
How do you screen tenants?
Do you access national tenancy databases? What checks are completed beyond income verification? Ask for the full list, not the summary.
What does your Property Condition Report look like?
Is it completed by an experienced manager with timestamped photos? Can you see an example before you sign? A bad PCR will cost you the bond at the end.
How are rent increases handled?
Are you across the WA 12-month limit rule, Form 10 requirements, and the 60-day notice obligations under the 2024 reforms? Who triggers the review, you or them?
What are the exit terms?
Is there a lock-in contract? What notice period is required, and are there any termination fees? If they need a contract to keep you, ask why.
